Bulk Editing Transactions

Update or delete multiple transactions at once

When you need to categorise, tag, or update many transactions at once, bulk editing saves time compared to editing each transaction individually. This is especially useful after importing bank statements or when reorganising your transaction data.

Accessing Bulk Edit Mode

  1. Go to Accounts and select an account
  2. Click Edit Multiple in the transaction list header
  3. The view switches to selection mode with checkboxes appearing next to each transaction

Selecting Transactions

In bulk edit mode, you can select which transactions to update:

Individual Selection

Click the checkbox next to any transaction to select or deselect it.

Select All

Click the checkbox in the header row to select all transactions at once. Click again to deselect all.

Transfers Cannot Be Bulk Edited

Transfer transactions are excluded from bulk selection. They involve two accounts and must be edited individually to maintain accurate balances.

Opening the Bulk Edit Panel

Once you've selected transactions:

  1. The button shows how many transactions are selected (e.g., "Edit 5 Transactions")
  2. Click the button to open the bulk edit panel
  3. The panel displays all available editing options

Editing Options

The bulk edit panel lets you update multiple fields. Each option has a toggle switch—only enabled options will be applied.

Set Category

Update the category for all selected transactions.

  • Toggle on Set Category
  • Select a category from the dropdown
  • Categories are organised by parent and subcategory
  • Select "No category" to remove the category

Split Transactions

When bulk editing split transactions, the category change applies to all items within each transaction. If you need different categories for different items, edit those transactions individually.

Set Merchant

Update the merchant name for all selected transactions.

  • Toggle on Set Merchant
  • Type a merchant name or select from the autocomplete suggestions
  • Suggestions come from merchants you've used before
  • Leave empty to clear the merchant name

Set Description

Update the description for all selected transactions.

  • Toggle on Set Description
  • Enter the new description (up to 100 characters)
  • Leave empty to clear the description

Set Tags

Replace the tags on all selected transactions.

  • Toggle on Set Tags
  • Click tags to select or deselect them
  • Selected tags appear highlighted with their colour
  • This replaces all existing tags—any previously applied tags are removed

Tags Are Replaced

Unlike other fields, tags aren't merged with existing tags. If you enable "Set Tags" and select just one tag, all other tags on those transactions will be removed.

Saving Changes

  1. Enable at least one editing option
  2. Set the new values
  3. Click Save
  4. A confirmation shows how many transactions were updated

You must enable at least one toggle before saving. The Save button is disabled until an option is selected.

Bulk Deleting Transactions

The bulk edit panel also allows you to delete multiple transactions at once:

  1. Select the transactions you want to delete
  2. Open the bulk edit panel
  3. Click Delete X Transactions (shown in red at the bottom left)
  4. Confirm the deletion when prompted

Deletion Is Permanent

Deleted transactions cannot be recovered. Make sure you've selected the correct transactions before confirming. Your account balances will be automatically recalculated.

Exiting Bulk Edit Mode

To exit without making changes:

  • Click Cancel in the header while in selection mode, or
  • Click Cancel in the bulk edit panel

Selected transactions are cleared when you exit bulk edit mode.

Common Use Cases

Categorising Imported Transactions

After importing a bank statement, you might have many uncategorised transactions. Use bulk edit to quickly categorise transactions from the same merchant:

  1. Enter bulk edit mode
  2. Select all transactions from a specific merchant (look for similar descriptions)
  3. Set the appropriate category
  4. Repeat for other merchants

Adding Tags for Tax

Mark business expenses for tax time:

  1. Select all business-related transactions
  2. Enable "Set Tags"
  3. Select your "Business" or "Tax Deductible" tag
  4. Save to apply to all selected transactions

Cleaning Up Merchant Names

If the same merchant appears with different spellings (e.g., "COLES" and "Coles Supermarket"):

  1. Select all variations
  2. Enable "Set Merchant"
  3. Enter a consistent merchant name
  4. Save to standardise your data

Removing Old Tags

To clear tags from a group of transactions:

  1. Select the transactions
  2. Enable "Set Tags"
  3. Don't select any tags
  4. Save—all tags will be removed from the selected transactions

Tips for Effective Bulk Editing

Work in Batches

If you have many transactions to update differently, work in batches. Select transactions that need the same changes, update them, then select the next batch.

Use Search First

Before bulk editing, use the search function to filter transactions. This makes it easier to select just the transactions you need.

Check Your Selection

Before clicking Save or Delete, verify the number of selected transactions matches your intention. It's easy to accidentally include or exclude transactions.

Consider Automation Rules

If you find yourself bulk editing the same types of transactions repeatedly, set up Automation Rules to automatically categorise similar transactions in the future.
