Adding Transactions

Record income and expenses manually or import from bank statements

Transactions are the building blocks of your financial picture. Every purchase, payment, deposit, and transfer is recorded as a transaction, allowing you to track where your money goes.

Ways to Add Transactions

Financio offers several ways to record transactions:

Adding a Manual Transaction

  1. Navigate to your account and click Add Transaction.

  2. Choose the transaction type:

    • Spend Money for purchases and expenses
    • Receive Money for income and deposits
  3. Fill in the transaction details:

    • Date: When the transaction occurred
    • Merchant: Who you paid or received money from
    • Description: Additional details (optional)
    • Category: How to classify this transaction
    • Amount: The transaction value
  4. Click Save to record the transaction.

Transaction Fields

Date

The date when the transaction occurred. Financio uses this to calculate running balances and organise your transaction history.

Opening Balance Date

If you enter a transaction dated before your account's opening balance date, Financio will ask if you want to update the opening balance date to include this transaction.

Merchant

The business or person involved in the transaction. As you type, Financio suggests merchants from your previous transactions.

  • Leave empty for transactions without a clear merchant
  • Consistent naming helps with reporting and rule automation

Description

Optional notes about the transaction. Useful for:

  • Adding reference numbers
  • Noting what you purchased
  • Recording additional context

Category

How to classify the transaction. Categories help you understand spending patterns and generate reports.

  • Search to quickly find categories
  • Create new categories directly from the dropdown
  • Use subcategories for detailed tracking

Amount

The transaction value. Enter as a positive number—Financio handles the sign based on transaction type.

Tags

Add tags to transactions for additional organization beyond categories. Tags are useful for:

  • Tracking projects or events
  • Marking tax-deductible expenses
  • Grouping related transactions

To add tags:

  1. Click the + button in the Tags section
  2. Select existing tags or create new ones
  3. Tags appear as colored pills on the transaction

Automatic Rule Matching

When you enter a merchant or description, Financio checks your automation rules. If a rule matches, it automatically:

  • Sets the category
  • Adds tags
  • Cleans up the merchant name

A purple banner shows when rules are applied, indicating which rule matched.

Building Your Rules

If you're editing an older transaction and add a category, Financio offers to create a rule for similar future transactions.

Credit Card Warnings

When adding transactions to a credit card with a limit set, Financio shows warnings if:

  • The transaction would exceed your credit limit (red warning)
  • The transaction brings utilization above 75% (yellow warning)

These warnings help you stay aware of your credit usage.

Importing Transactions

For bulk entry, import transactions from your bank:

  1. Click Add Transaction and select Import Transactions
  2. Upload a CSV or QIF file from your bank
  3. Map columns and review the import
  4. Financio applies rules and suggests categories

Editing Transactions

To edit an existing transaction:

  1. Click on the transaction in your transaction list
  2. Modify any fields
  3. Click Save Changes

Convert to Transfer

If you realise a transaction is actually a transfer between accounts, click "Convert to Transfer" when editing. Financio will find matching transactions in other accounts to link.

Deleting Transactions

To delete a transaction:

  1. Click on the transaction to open it
  2. Click Delete
  3. Confirm the deletion

Deleted transactions are permanently removed and cannot be recovered.
